Health & Safety

The safety and wellbeing of our members, staff and volunteers is our highest priority in everything we do — without exception.

In an emergency: always call 999 first. A Place to Bee staff are trained in first aid and will assist until emergency services arrive. A named First Aider is present at all activities.

1. Our Commitment to Safety

The Place to Bee is committed to providing a safe environment for all members, staff, volunteers and visitors. We take a proactive approach to health and safety — identifying risks before they arise and ensuring everyone is equipped to respond appropriately.

Our Health & Safety Policy is reviewed annually and following any significant incident. All staff receive regular training in both health and safety and safeguarding.

2. Risk Assessments

A written risk assessment is completed for every activity and venue we use. Assessments consider:

  • The nature of the activity and any associated hazards
  • The specific needs and mobility requirements of members attending
  • Venue access, emergency exits, and first aid provision
  • Transport arrangements and any additional risks during travel
  • Weather conditions for outdoor activities

Risk assessments are reviewed regularly and updated whenever circumstances change. Copies are available on request.

3. Staffing Ratios

We maintain appropriate staff-to-member ratios at all activities. Ratios are determined by the number of members attending, their individual support needs, and the nature of the activity. We will never run an activity with fewer than two members of staff present.

4. First Aid

At least one qualified first aider is present at all activities. Our provision includes:

  • A fully stocked first aid kit available at all sessions
  • Staff trained in basic life support and emergency first aid
  • Awareness of individual members' medical needs and emergency protocols
  • Clear procedures for contacting emergency services when required

5. Medical Information & Medications

We ask all members (or their carers) to provide full medical information at registration, including:

  • Any medical conditions that may affect participation
  • Current medications and dosage instructions
  • Known allergies — including food allergies and anaphylaxis risk
  • Emergency contact details and named GP

This information is kept strictly confidential and accessed by staff on a need-to-know basis only. It is reviewed at least annually. Where medications need to be administered during activities, a Medication Administration record is completed in line with our Medication Policy.

6. Safeguarding

The Place to Bee is committed to safeguarding the welfare of all adults in our care, in accordance with the Care Act 2014 and local safeguarding adult board guidance.

  • All staff and volunteers undergo an enhanced DBS check before starting
  • A designated Safeguarding Lead is appointed and available to all staff
  • All staff receive safeguarding training at induction and at regular intervals
  • Any safeguarding concern is reported and recorded immediately

7. Food Safety

Where food is prepared or served at activities, we follow strict food hygiene standards. Staff involved in food preparation hold a Level 2 Food Hygiene Certificate. All known allergies and dietary requirements are recorded, communicated to relevant staff, and respected at all times.

8. Fire Safety

At every venue, before activities begin, we confirm the location of all fire exits and assembly points, check that exits are accessible including for wheelchair users, and ensure all staff are familiar with the venue's evacuation procedure.

9. Reporting Accidents & Incidents

All accidents, incidents and near-misses are recorded in our Incident Log regardless of severity. Where required, incidents are reported to the relevant authorities under RIDDOR. Families or carers are informed of any incident involving a member without delay. All incidents are reviewed to identify preventative measures.

10. Raising Concerns

If you have any health and safety concerns about any aspect of our activities, please raise them with a member of staff immediately or contact us directly. We take all concerns seriously and will respond promptly.
